What personal information do I collect and why?

I currently collect, store and process your personal information to issue a quote, provide a translation or editing service you request, or comply with legal requirements.

Personal information collected may include:

  • your name,

  • postal address,

  • email address,

  • telephone number,

  • ID or tax number,

  • business name,

  • any other personal information found within the personal documents you send, and

  • information collected through this website, such as your browser, device, country, duration of browsing sessions etc., using cookies.

 

Personal information may also include special categories such as medical information, but only if you send this information to me for the specific purpose of translation services.

I will only use your personal information for marketing purposes when referring to you in your testimonial including but not limited to on my website, social media channels and for any other marketing announcements that may take the form of written or oral statements or case studies.

How do I collect your personal information?

Most of the personal information I process is provided to me directly by you. I collect personal information and process personal information when you:

  • contact me about my services

  • input information into the contact form on my website

  • use or view my website via your browser’s cookies.

How do I use your personal information?

I use the information that you have provided to:

  • provide you with the services you have requested

  • provide you with a quote

  • provide answers to your queries

  • update you regarding your project

  • deliver your projects to you

  • invoice you

  • keep records and carry out bookkeeping

  • comply with the ITI code of professional conduct

  • improve this website and your client experience.

How do I store your personal information?

Your information is securely stored on:

  • a password-protected desktop computer

  • a password-protected laptop

  • Onedrive cloud backup service

  • an external hard drive

  • email

 

Sensitive files are also password-protected. I also use high-grade anti-virus and firewall software. Where your information is in paper format, I have secure storage and disposal processes for this.

 

Who else has access to your personal information?

If I send a text for revision or editing to a colleague, that text will be anonymised, so your personal information will not appear.

For administrative purposes, other parties may have access to your personal information, including my bookkeeper and cloud backup provider, website and email hosting services, and anti-virus software. All these parties are compliant with the EU General Data Protection Regulation (GDPR) like me, or in the case of US companies, are self-certified under the EU-US Privacy Shield framework.

How long do I keep your personal information?

  • For quotes, I delete all personal information after six months.

  • For services rendered, I keep personal information for seven years to comply with tax obligations and, if it is embedded in a translation, for up to ten years to preserve the integrity of my personal translation resources that I then refer to for consistency and in case of queries or complaints.

  • For services received, I keep your personal information for seven years for administrative purposes.

  • I delete email communications after seven years.

Third parties

I will neither share with nor sell your personal information to any third parties for marketing purposes.

I will share your personal information with third parties in the following cases:

  • When it is necessary to deliver the services you requested under the terms of service you accepted when you requested the services.

  • When required by the law.
